Creating Items

Add products to your warehouse catalog

Go to Items → New, or open any item to edit it. The form is the same in both cases.

Requires items:create to add and items:update to edit.

Details

  • SKU - required and unique. If you configured an SKU number series under Settings → General, the next code is suggested automatically and you can override it.
  • Name - required.
  • Description, Image URL.
  • Tags - type a tag and press Enter. Tags are used for filtering and for scoping a stock count.

Pick locations

Where the item sits in the warehouse. Drag to reorder - the first location is the primary pick location, and pick lists are sorted by it. Format follows the location code format set under Settings → General, for example A-01-03.

Locations belong to one warehouse at a time. If you run several warehouses, each gets its own list with its own primary, so a picker is only ever shown the aisle in the building they are standing in. With a single warehouse there is nothing to choose and the field looks exactly as it always has.

Barcodes

Add as many as you need. Every one of them matches when scanning during picking, packing, receiving or counting, so you can keep both the manufacturer EAN and your own internal code.

Suppliers

Link the item to one or more suppliers, each with a supplier SKU, price, currency and lead days, and mark one as preferred. This is what makes the item appear in replenishment suggestions, and it is how the receiving scanner matches a supplier's barcode.

Bundle components

Only shown when Bundle / kit is on under Status. Search for component items and set a quantity for each. Changing the composition of a bundle that already sits on open orders raises an impact dialog before it re-syncs those orders. See Bundles.

Status

  • Active - inactive items are hidden from the default list and cannot be ordered.
  • Bundle / kit - turns on the components section.
  • Track inventory - off for services or anything you never hold stock of.
  • Requires picking - off for items that ship without a physical pick, such as digital goods.

Reorder

Reorder point and Safety stock days, both feeding the replenishment suggestions. Leave the reorder point on Auto to let it be derived from sales velocity and supplier lead time.

Pricing

Cost price, sale price, currency and Tax %. The tax rate is applied to sales order lines. On purchase order lines the supplier's default tax rate wins where the supplier has one.

Customs

HS code and country of origin. Both are required for a cross-border shipment - without them the customs step of a booking fails. See Create a shipment.

Shipping

Unit, weight and dimensions (L × W × H). Weight matters more than it looks: an order with no package weight cannot be auto-booked and drops out to manual booking.

Bulk actions

Select rows on the item list to print labels, add or remove tags, activate or deactivate, or delete.

Importing

Products from a connected Shopify store are imported automatically and matched on SKU, so re-running a sync updates rather than duplicates. You can also import from CSV under Items → Actions → Import, which previews the file and reports per-row errors before writing anything. Bundle components have their own import format.

Deleting

An item with stock movements cannot be deleted, because that would break the audit trail. Deactivate it instead - it disappears from the default list but its history stays intact.
