Stock Levels

View and manage stock levels across warehouses

Stock is tracked per item and per warehouse. Open an item and select the Stock tab, or go to Inventory for the same figures across the whole catalogue.

The four numbers

ColumnMeaning
On handWhat is physically in the warehouse
ReservedOn-hand stock already allocated to a specific open order
CommittedDemand from open orders, whether or not it has been allocated
AvailableOn hand minus reserved - what a new order can still take

Reserved and committed are easy to confuse. Reserved is stock you are holding; committed is stock somebody is waiting for. Replenishment suggestions are calculated from on hand, not available, because counting reserved stock twice would inflate every suggestion.

Upcoming demand

Under the stock table, the item's Stock tab lists the open orders and purchase orders that will move this item, so you can see what is about to arrive and what is about to leave without going hunting.

What changes stock

EventEffect
Goods receipt completedOn hand increases, a new batch is created at the receipt's unit cost
Fulfilment createdOn hand decreases, consuming batches FIFO
Stock adjustmentOn hand set to an absolute new value
Stock count approvedOn hand corrected to the counted quantity
Order allocatedMoves stock from available to reserved. On hand is unchanged

Cost

Each stock record carries the unit cost of the batch it belongs to. When stock is consumed the movement snapshots what those particular units cost, which is what makes FIFO valuation and the inventory valuation report work.

Import and export

Actions → Import CSV on the Inventory page sets stock levels in bulk. Export CSV gives you the current figures with the filters you have applied.

Multi-warehouse

Every warehouse holds its own stock, its own costs and its own settings. The Inventory list shows one row per item and warehouse; filter by Warehouse to narrow it down. Your personal default warehouse is set under Settings → Account.
